How should we manage and archive old or inactive files?
Effective archiving is crucial for decluttering active workspaces and maintaining system performance. We recommend a structured archiving system:
Dedicated Archive Folders:
•Within each major departmental, client, or project folder, create a dedicated sub-folder named 99_Archive.
•This ensures that archived content remains logically grouped with its parent category but is clearly separated from active files.
Archiving Criteria:
Implement clear rules for when files should be moved to an archive:
•Age-Based Archiving: Files or projects that have not been accessed or modified for a defined period (e.g., 1-2 years for general documents, 3-5 years for critical project data) should be considered for archiving.
•Completion-Based Archiving: Once a project is formally closed, a client engagement concludes, or a specific task is completed, all associated files should be moved to the respective 99_Archive folder.
•Redundancy Elimination: During the archiving process, identify and remove duplicate files to optimise storage and prevent confusion.
Archive Review Cycle:
•Regular Reviews: Schedule quarterly or semi-annual reviews of all 99_Archive folders. This process helps identify data that can be permanently deleted (in accordance with your data retention policies) or moved to long-term, cold storage solutions for cost-effectiveness and compliance.
•Data Retention Policies: Ensure your archiving strategy aligns with your organisation's data retention policies and any relevant regulatory requirements (e.g., GDPR, HIPAA, local data protection laws).
